Situation

Westminster Foundation for Democracy is a not for profit organization that works with countries, parliaments, political parties and civil societies around the world to assist in the development of inclusive democracies.

Having already migrated to Office 365 and SharePoint Online, Westminster Foundation for Democracy were looking for some consultancy, guidance and training to help them fully leverage their existing investment. To help their international teams work more productively, Westminster Foundation for Democracy wanted to have a centralised repository for important programme information that could be accessed anytime, anywhere from their virtual teams around the world.

Solution

Key Requirements

Business Cloud Integration were chosen by Westminster Foundation for Democracy to help them understand and identify their key requirements. This was done through in depth interactive requirements gathering sessions with each department in the organisation.

Westminster Foundation for Democracy wanted their teams around the world to be able to access their up to date data securely from one, central collaboration space, and to simplify version control by implementing a single source of the truth for each document. Due to the sensitive nature of the data they handle on a daily basis, it was important to Westminster Foundation for Democracy that they could control access to confidential data with a simple, centrally controlled governance model, and securely share and collaborate on information with authorised third party contributors.

Project

This project involved the design and implementation of the information architecture, permissions models, workflows and data surfacing, to ensure that teams are seeing dynamically correct data and up to date document versions. We also deployed custom workflows to automate business processes, and delivered support and training on these workflows to Westminster Foundation for Democracy’s IT teams to empower them to enable them on demand.

We also migrated their existing data from SharePoint, Huddle and their shared drive into the new SharePoint structure, and delivered training for admins, end users and champions, to help Westminster Foundation for Democracy to self-sufficiently support and manage their own system. To supplement this training, we created self-service training videos and interactive guides for users.

We now work as a trusted partner with Westminster Foundation for Democracy, delivering continual development, support, and business analysis as required/requested, and forming part of a governance body with the organisation to review requirements as they arise.
